The Ministry of Economy (‘Ministry‘) is responsible for providing efficient and effective economic and financial advice to Government including management of the national economy consistent with the Government’s macroeconomic and financial objectives. The following divisions support the Ministry in the delivery of its outputs and these include: budget management services and policy formulation, effective implementation and monitoring of projects and programmes (Budget and Planning Division) accounting services (Treasury), debt management services (Debt Management), internal control and audit services (Internal Audit & Good Governance), facilitation of procurement for whole of Government (Fiji Procurement Office), implementation of Government wide financial management reforms (Financial & Policy Assurance), management of Government capital projects, quarters and office space (Construction Implementation Unit), administrative and support services (Corporate Services Division) as well as statistical compilation and dissemination (Fiji Bureau of Statistics).

The Ministry invites applications from qualified and professional candidates for the following position:

Vacancy #196-198/2017: Procurement Assistant (3 Positions)

The position reports to the Manager Procurement through the relevant Supervising Officers.

The key responsibilities of the position include:

• Provide assistance and clerical services to the respective units to ensure effective and efficient operations;
• Provide advice and assistance to cross - functional and cross agency tender teams on best practice tendering process where required;
• Provision of accurate advice to assist line agencies in drawing up their Annual Procurement Plans (APP’s) and Procurement Compliance Report;
• Assist in scheduling and conducting tender evaluation, tender box opening and procurement training to Ministries and Departments;
• Organize the distribution of tender documents, GTB meeting agendas, and Procurement Audit reports; and
• Undertake research and data gathering to support policy development, compliance auditing and tender decision making.

Knowledge and Experience

• A relevant administrative and/or secretarial experience and/or qualification in Office Administration.
• At least 2 years’ practical experience working in a Procurement department of an organization.
• Basic knowledge of procurement process, tendering procedures, supplier contracts and supplier performance management.
• Practical knowledge and experience in management of customer and stakeholder relationship.
• Understanding of the Fijian Constitution (2013) and applicable procurement laws of Fiji

Skills & Abilities

• Demonstrated willingness and ability to understand and interpret guiding procurement legislations, regulations and procurement policies of the Government
• Demonstrated ability to respond to queries within a short turnaround time.
• Demonstrated ability to effectively work in a team, and with clients and stakeholders.
• Demonstrated ability to work under pressure and meet timelines.
• Effective written and verbal communication skills with high proficiency in technology use.

Applicants for employment in the Ministry of Economy must be a Fiji Citizen, under the age of 55 years, in sound health and with a clear police\record. The successful applicant will be required to provide a medical certificate and police clearance as a condition of employment.
